SYSTEM SETUP CHECKLIST
Use this checklist to prepare the workspace’s operating units, strategic outcomes, KPI scorecards, initiatives, accountable people, execution records, and executive review rhythm.

01 · Portfolio setup
- [ ] Add each business, brand, division, client operating area, or internal operating unit to Businesses & Operating Units.
- [ ] Define its current focus, intended customer or user, value-delivery path, main obstacle, and executive review rhythm.
- [ ] Create the active Strategic Goals & Outcomes that define what must materially change, who owns the result, the target date, and the success criteria.
- [ ] Create the KPI Scorecards that provide current values, targets, trends, evidence sources, accountable owners, and review cadence.
- [ ] Create each active major initiative in Projects & Initiatives and connect it to the correct Business relation.
- [ ] Connect each initiative to at least one Strategic Goal or KPI Scorecard so its business reason is explicit.
- [ ] Define each initiative’s intended result, next milestone, health, priority, completion or approval requirements, next handoff, and target date.
02 · People and accountability
- [ ] Add each team member, contractor, advisor, or guest to People & Contractors.
- [ ] Define each person’s responsibilities, what they can approve, what information they can access, when issues should be escalated, who receives their work next, their availability, and the next review date.
- [ ] Assign one Project Lead to every active project.
- [ ] Assign one Responsible Person to every active task.
03 · Workflow configuration
- [ ] Use the Quick Create Center to establish the foundation in sequence: Business → Person → Strategic Goal → KPI Scorecard → Project. Then create Tasks, Decisions or Exceptions, Meetings, Content, Launches, Vendors, and CEO Operating Reviews in their canonical databases. Create Process, SOP, Knowledge, and AI Workflow records when the operating model requires them.
- [ ] Use the Business relation as the main connection between a record and its business.
- [ ] Use the Project relation as the main connection between a record and its project.
- [ ] Route new records through the Business and Project relations. Populate Business Area or Project View Filter only when a specifically identified legacy view has been tested and still depends on that compatibility field.
- [ ] Confirm that each business and project dashboard shows the correct records.
